  • Advanced Search: What do I need to know? (Part 1)

Version 2.0.1 of eDoc Organizer introduced the advanced search feature. Using advanced search in eDoc Organizer you can search for documents based on the content within them. This is especially useful when used in conjunction with the Optical Character Recognition (OCR) feature of eDoc Organizer. Using OCR eDoc Organizer can read the text on your scanned paper documents and store it along with the the scanned image in the same PDF file. Advanced search can than assist in retrieving these documents based on the OCR data stored within the PDF file.

Advanced Search for eDoc Organizer is powered by Windows Search 4.0. Rather than reinvent the wheel, we work with Windows Search to be able to quickly and efficiently search for documents in the eDoc Organizer storage repository. But Windows Search doesn't know how to read the contents of PDF files.  So you have to install what is called a PDF iFilter on your computer. PDF iFilter reads the contents of the PDF files on your computer and provides the details to Windows Search. If this PDF iFilter is not installed correctly on your computer, Windows Search will not provide accurate search results when eDoc Organizer queries it.

Windows Search behaves a little differently on Windows XP, Windows Vista, and Windows 7. In this post I will show you how to check if the PDF iFilter is installed correctly on a 32-bit WIndows XP machine.

    Windows XP (32-bit)

Once you install Windows Search 4.0 on your XP computer, you will see a little magnifying glass icon in the notification area of your taskbar. You will also see a "Desktop Search" toolbar on your taskbar.

    image

You can access Windows Search Options by right clicking on the magnifying glass icon in the notification area.

    image

Clicking on the menu item will bring up the Indexing Options dialog.

    image

Indexing Options dialog has an "Advanced" button on it. Clicking the ":Advanced" button will bring up the Advanced Options dialog.

    image

Advanced Options dialog has a "File Types" tab at the top. Clicking on the tab will show how Windows Search handles different file types. Scroll down until you see PDF file type.

    image

Once you select the PDF file the "How should this file be indexed?" should have "Index properties and file content" checked. This ensures that Windows Search has the proper PDF iFIlter installed and is using the data provided by the iFilter to search for PDF files using their contents.

  • eDoc Organizer Licensing Model Change

Today we are releasing eDoc Organizer Ultimate Edition along with version 1.4.6.0 of eDoc Organizer. To add unlimited storage capacity to eDoc Organizer we had to change how eDoc Organizer is licensed. Due to this major change all existing users of eDoc Organizer will have to re-register and get a new license for version 1.4.6.0 and beyond. Existing Standard and Business edition customers should use their purchased registration code to upgrade their license.

We sincerely apologize for this inconvenience. Rest assured that the data you already have in eDoc Organizer will not be affected during this re-licensing process. Please feel free to contact us at admin@edocllc.com if you have any questions or run into any issues.

  • eDoc Organizer Version 1.4.3.0 released

image A major focus of this version of eDoc Organizer was reinventing and redefining the way you search for information and documents within eDoc Organizer.

In the past, once you labeled your documents, to search for them you had to type the name of the label in the search box. It was also harder to find documents that had a specific set of labels on them e.g. January's water bill. Now you  can do these kinds of searches with just a few clicks of the mouse and without even having to type a single letter. Just click the little checkbox next to the label of the documents you are looking for and eDoc will only show you the documents that have that label attached to them.

Lets try it out! Let me start by showing you what my eDoc Organizer looks like when I open it.

    eDocOrganizerScreenshot

As you can see all my documents are visible as show by the status bar below.

    image

Now to find June's Water bill all I have to do is click on the little checkbox besides Water,

    image

    image

and then click the checkbox besides June.

    image

Now eDoc Organizer is only showing me June's water bill. To clear the search and see all your documents again just click on the clear search button above all the labels.

    image

Some other features included in this release are:

    - An easy way to edit label groups: Just click on the Edit Label Groups button on top of the labels.

    image

    - Ability to search documents based on their comments

    image

Finally, as usual, there are also some bug fixes in this release. I won't bore you with the details, but rest assured that we are always working hard to make eDoc Organizer even better!

  • Give us your review

So this week eDoc Organizer was reviewed by a couple of prominent sites: Snapfiles.com and Usefultools.com. Snapfiles.com gave eDoc Organizer 3.5 stars out of 5 and Usefultools.com gave it 3.3 stars out of 5. We thank both snapfiles.com and usefultools.com for their insightful reviews. Both reviewers loved eDoc Organizer’s unique labeling system and its ease of use. On the flip side here are a few areas that they would like us to improve in eDoc Organizer:

    • Backup and restore
    • Password protection
    • Ability to export your documents

Check out their reviews at http://www.snapfiles.com/reviews/edoc-organizer/edocorg.html and http://www.usefultools.com/2009/10/de-clutter-your-desk for more details.

But we put more stock into what our users have to say, not professional critics. So we want to know what you think: Give us your review and tell us what you like about eDoc Organizer and what you would like to see changed or improved. You can either leave us a comment for this blog entry, file a suggestion at our support site, or just send us an email at suggestions@edocllc.com. We don’t care how you get back to us as long as you let us know how we are doing so far and how we can improve in the future.

Oh and one last thing before I go: we will be releasing a minor update to the 1.4.2 version with a few bug fixes later tonight. Thank you to all the folks who have reported their issues and helped make eDoc Organizer even better.

  • Version 1.4.2.0 of eDoc Organizer is now available

In addition to minor bug fixes, 1.4.2.0 version of eDoc Organizer includes two new features:

    1. Manual cropping: When you scan in paper documents of uncommon size like receipts or business cards, the scanned image might have a lot of empty space around it. eDoc Organizer has always had the “Auto Crop” feature to help eliminate the empty space and resize the document to the correct size. But there might be times when the “Auto Crop” feature doesn’t behave exactly as you want it to. Now you can use the “Manual Crop” feature during those times to help you get the exact results you want.

Once you scan the image, click the “Manual Crop” button to bring up the “Crop Scanned Image” dialog.

    image

In this dialog you can use the thumbs at the edge of the image to resize the relevant portion of the scanned image you want to keep.

    image

Clicking on the Apply button will crop the image and only keep what you want from the scanned image.

    image

    2. Thumbnails of office documents: In the last version (1.4.1.0) of eDoc Organizer we implemented a new way to retrieve thumbnail images of documents you import into eDoc Organizer. In this version of eDoc Organizer we are enhancing that capability to get thumbnail images of even more documents. Now users of Microsoft Office 2007 will be able to get thumbnail image of all office documents (Word, Excel, and PowerPoint) they import into eDoc Organizer. This new features requires that you have a “Microsoft Save as XPS” Add-in for Office 2007 installed on your system. The Add-in can be downloaded from Microsoft website at: http://www.microsoft.com/downloads/details.aspx?FamilyId=BCE8F991-F0A4-47A0-866B-2FD84A329E02&displaylang=en. Microsoft Office 2003 users and Microsoft Office 2007 users without the Add-in will continue to get the generic office document icons.

  • Version 1.4.1.0 of eDoc Organizer is now available

The biggest change in this version of eDoc Organizer relates to the thumbnail previews of imported documents. Even though, previous versions of eDoc Organizer allowed you to import PDF, Word, PowerPoint, and Excel documents, there was no preview thumbnails for these type of documents. eDoc Organizer used these icons as a substitute for the actual thumbnail of the document.

    Excel PDF PowerPoint Word

eDoc Organizer 1.4.1 tries to retrieve the thumbnail of the document and use it instead of the icons above. This will help users identify their documents much more easily. If eDoc Organizer is unable to retrieve the thumbnail it will still default to the previously used icons.

Also, the Import File Dialog is now updated so that you don't have to select the appropriate file type (XPS, PDF, Word, Excel, PowerPoint) when importing documents. Now by default the open file dialog will show you all supported documents that can be imported.

    image

Finally, there are some other minor bug fixes in this release. The most noticeable of which is that the main window title bar now identifies the edition of eDoc Organizer you are using.

    image

Existing users of eDoc Organizer will be upgraded to 1.4.1 the next time they start eDoc Organizer.
